Do you need to apostille your transcripts?

If you attended a High School, College, University, or a Trade School in the United States and plan to work, continue your education, or obtain a long term Visa in another country, the requesting country will ask that your transcripts be authenticated by the School’s Registrar prior to receiving an apostille from the Secretary of State.

A transcript must be signed and notarized by the School’s Registrar. In order to determine if your transcript has been notarized, you can look for the original signature of the Registrar and the seal and signature of the notary public on the transcript. Every school has policies and procedures on how a transcript is notarized. I recommend that you contact the school and find out their procedure and if they have a notary on staff.  You can also request a traveling notary to meet with the Registrar.

BEWARE OF APOSTILLE SERVICE COMPANIES WHO WILL RE-NOTARIZE YOUR TRANSCRIPT IN ANOTHER STATE OR WITHOUT THE SCHOOL REGISTRAR’S SIGNATURE.

In some situations, the school will draft a letter on school letterhead certifying that the attached copy of the transcript is authentic.  This letter is then notarized and apostilled from the State office. Also, the country requesting your transcript will provide you instructions on what is required.

Once your transcript has been notarized, we recommend that you contact us so we can email you the instructions and order forms.  Also, some countries have strict requirements on how a transcript should be authenticated.  These countries include: Kuwait, Qatar, and Saudi Arabia.  Documents destined for these countries require multiple steps and additional supporting documentation.

The processing time and cost depends on the State the transcript has been notarized in and the country requesting the degree. For example, a degree notarized in California and for Spain is going to cost less than a degree notarized in New York and for Qatar.  Our staff can provide you the cost and processing time.

Apostille a Diploma and Transcript

Do you need an apostille on your Diploma?

If you are planning to continue your education or start a new job in another country (Example: South Korea), you will be asked to obtain an apostille on your diploma.

We can apostille diplomas issued from any University, College, High School, and trade school.  We can even apostille State issued certificates (Example: Teaching English as a Foreign Language (TEFL) Certificate, Teaching License, etc…).

In addition to obtaining an apostille on your diploma, you may also be asked to obtain an FBI criminal background check apostille.  Our office in Washington DC can assist you with the apostille but you will need to contact an FBI approved channeler to help you with the background check.

The first step in obtaining an apostille on your diploma is to contact the school’s registrar.  You will need to speak with the school’s registrar and request a notary to meet with the registrar to notarize his or her signature on the diploma.  Every school has procedures in place on how to notarize a diploma.  Some will request that you mail in the original while others may request that you order a new diploma. We recommend that you contact your school today for instructions.

Warning: A diploma must be signed by the school’s registrar, notarized, and apostilled from the same State the school is located in. 

Once you have obtained the notarized copy, you can them mail in this document to our office for processing.  A diploma mailed in directly from the school must at least include our order form.  It’s important that this order form accompanies your diploma so we know who to contact for payment once we receive it.  A second option is to have the diploma mailed to a family member or friend who will then forward it to us with the order form.  We recommend that you contact us so we can email you the correct forms.

Apostille Transcript – High School, College, University

Diploma ApostilleEvery month, several hundred students contact our offices inquiring on how to obtain an apostille on their school transcripts.   If you attended a High School, College, University, or a trade school in the USA, we can apostille your documents quickly saving you time and money.  You don’t even need to be in the USA!

If you plan to work or continue your education in another country, you will be asked to obtain an apostille on your documents.  The company or institution requesting your documents will require proof that your documents are valid.  In order to prove the legitimacy of your documents, the school’s registrar must have his/her signature notarized attesting to the authenticity of your documents.

The first step is to contact your school’s registrar.  You will need to inform the official there that you need an apostille on your documents.  If the school does not have a notary on campus, you will need to request a traveling notary drive to the campus and meet with official.  Once your documents have been notarized, you can then have them delivered to our office for processing.

Note: Your documents must be apostilled from the State that your school is located in.  For example, if you attended UCLA (University of California in Los Angeles), your documents must first be notarized in California.  Once notarized, your documents then qualify to receive a California Apostille.

Some unethical apostille service providers will attempt to sway your good judgement and recommend to have your document apostilled in another state.  This type of behavior is unethical.  Always make sure your documents are processed from the State they originate from.
