College Diploma Apostille

Do you need to apostille your College Diploma?

In order to apostille your diploma, it must be signed by the Registrar and notarized.  We have provided detailed instructions below.

*An enrollment verification letter can be issued anytime by the College.  Please remember that all documents you obtain from the College must be notarized individually. For example, if you need your diploma and transcripts apostilled, they both need to be signed and notarized separately and not combined as one document.

Step #1: The first step is to contact the University’s Registrar and inform the Registrar that you will need the original or a color copy of your diploma to be signed and notarized.  The Registrar with either ask for you to mail in the original or email a color copy. Some schools may request that you purchase a new diploma. If the University does not have a notary on staff, a traveling notary can visit the school and meet with the Registrar.  You can search online and arrange for a local traveling notary service.  Most notaries are unfamiliar with authenticating a diploma for another country so it’s best to leave the apostille process to us.  The notary must follow the proper notarial laws of their State and include the correct notarial wording.

Typically, a diploma can be notarized in several ways:

  1. The Registrar attests to the diploma with a written or typed statement and the notary witnesses the signature of the Registrar.  For example: “I, Jane Doe, Registrar of ACME University, certify that this is a true and original copy of John Walters Master’s diploma”.  In most cases, the notarization is performed on the back of the diploma to allow space for the statement, Registrar’s signature, and the notarization.
  2. The second and less frequent option is for the University to draft a signed and notarized University letterhead with a statement and signature of the Registrar including the notaries seal, signature, and notarial wording.

Please be sure to contact our office as some countries will request the original diploma to be notarized rather than a color copy.  For example, Qatar will request the original diploma to be signed and notarized.

Step #2: The second step is to mail in your notarized diploma with our completed order forms to our office.  We have created an order form and credit card authorization form for every US State.

Apostille Diploma

One of the most common document we can apostille is an education diploma.

In order to apostille a diploma, it must be signed and notarized by the school’s registrar.  The registrar or another official at the school (Example: Principal) will attest to the validity of the diploma ensuring that if anybody calls the school, the diploma will be verified.

A diploma cannot be signed and notarized by just anybody.  Only the official from the school can attest to its authenticity and validity.  If the school does not have a notary public on staff, a traveling notary can visit the school and meet with the registrar.

Note: The reason why you want the diploma attested by the school is because you want an official from the school to verify your degree in case someone calls with questions.

Every school has procedures in place on how to notarize a diploma. Some schools will ask for you to mail in the original diploma while another will certify a color copy.  We recommend that you contact the school and find out what their procedures are before doing anything . If your school is having difficulty understanding your request, you can ask the school to contact us for instructions.

Once your diploma has been signed and notarized, the next step is to mail it in to our office for processing.

The processing time and cost depends on the State the degree has been notarized in and the country requesting the degree. For example, a degree notarized in California and for Spain is going to cost less than a degree notarized in New York and for Qatar.  Our staff can provide you the cost and processing time.

Diploma Apostille

The very first step is to contact your school’s Registrar for assistance.  You will need to explain to the Registrar that you need to authenticate your diploma so the other country will accept it. If the school does not have a notary on staff, you can request a traveling notary to meet with the school’s registrar.  The school’s Registrar will either notarize the original diploma or a color copy.

Every school will have their own procedure on how the notarization step will be completed.  Some school’s will request that you mail in your original diploma so they can notarize it while another school will notarize a color copy.  Please contact your school for know more about their procedure, cost, and turn-around time.  If you are having difficulty and the school’s Registrar is not understanding your request, you can ask the school’s registrar to call our office.

Once we receive your diploma, we’ll process it from the State the diploma has been notarized in.  Please note that notarized documents from the State’s of New York, Maryland, Hawaii, Kentucky, and Tennessee require County Clerk authentication before the State will attach the apostille.

If you are requesting your diploma for a country who is not a member of the Hague Apostille Convention, your diploma will require two to three steps to complete.

Here’s how it works:

Step 1: Contact the schools Registrar and inform the official there that you need your Diploma copy certified and notarized. If the school does not have a notary on staff, you will need to find a traveling notary to meet with the school Registrar. If the school is not able to order your diploma quickly, you can mail your original diploma to the school to help speed up the process. Step 2: Once your Diploma have been copy certified by the local notary and school registrar, it is now eligible for the Apostille. Diploma Apostille

Diploma ApostilleThere has recently been a very high demand for authenticating diplomas and transcripts from high schools, colleges, and Universities across all of our offices.  If you are planning to continue your education or if you are starting a new job in another country, you will be asked to apostille your diploma and transcripts.  An apostille is for countries who are members of the Hague Apostille Convention.  We also certify and legalize documents for countries who are not members of the Hague Apostille Convention (Example: Qatar, Saudi Arabia, Kuwait, United Arab Emirates, Chile, Brazil,  China, etc…).  Certifying and legalizing documents requires multiple steps to complete.

Due to the urgency of authenticating these documents, we ask that you first contact the school’s registrar and request a notarized diploma and transcripts (if required).  The country requesting your documents should be able to provide you clear instructions in order to avoid any delays or additional cost.  We can also provide you step-by-step instructions and country specific requirements for our experience.

In order to send you the correct order forms and instructions, we will need to know the following information:
1. What State is your diploma from?
2. Has the diploma been notarized by the school’s registrar?
3. What country is requesting your documents?

Apostille College Diploma and Transcripts

Apostille Diploma and TranscriptDo you need an apostille for your college diploma and/or transcripts?

If you are planning to continue your education in another country or an employer has requested an apostille on your school diploma and/or college transcript, you will need to mail-in a notarized original or a notarized color copy to our office for processing.

We can apostille notarized documents from middle school, high school, college, university, and trade school.  We can also apostille certificates and awards.

The first step is to contact the school’s registrar and request to have your diploma and/or transcript notarized.  This may involve having to hire a traveling notary to visit the campus and meet with the school’s official. If your school’s registrar is unavailable, you can meet with a notary and have your official documents copy certified.  A copy certification form will be filled-out and stapled to the original or color copy of your original document.  In some States, the notary cannot copy certify your diploma and/or transcripts.

Once your documents have bee notarized, the next step is to mail in your notarized diploma and/or transcript to our office for processing.  Our seven offices are strategically located in California (Los Angeles & San Francisco), Texas, Florida, New York, Illinois, and in Washington, D.C. to help expedite the process of authenticating your documents. It’s important that you mail-in the original notarized document as the state will not accept copies.  Be sure to contact us before you mail-in your documents in order to avoid any delays.

Only the State office has the authority to issue an apostille on your documents.  The process is very time-consuming and can be confusing.  Every day, our staff visits several Secretary of State and Department of State offices in several states to complete documents for our clients.  This time-consuming process can take many hours to complete.  If the notarization has been completed correctly, the State will attach an apostille to your documents.  If the notary fails to follow the proper notarial laws, your documents will be rejected and you will have to start the process over.  About 20-30% of notarized documents we receive at our offices have been notarized incorrectly.  We recommend that you work with a professional notary who will follow the laws of the state.

The purpose of the apostille is to authenticate the official (notary public) who signed the diploma and/or transcript.  We recommend that you review your transcripts and/or diploma for accuracy before the apostille is attached.  In some countries, they will request that your diploma and/or transcripts be translated to their language.  Translation of documents should be done after the apostille is attached.

Apostille for Mexico

A recent article in the LA Times stressed the challenges many parents and their children face by leaving the U.S. in order to keep their families together in Mexico. If your child was born in America and attended school, the officials in Mexico will request a birth certificate, school diploma and/or transcripts to be authenticated with an apostille stamp.

We can obtain an apostille on your documents even if you have left the United States. Depending on your circumstances, you may either need to order a new certified copy of the birth certificate or we may be able to use the one you have now. Ordering a new certificate would depend on the State that issued the certificate and the date the document was issued. For example, birth certificates issued from the State of Virginia needs to be issued within the past 12 months in order to receive an apostille.

In most cases, the birth certificate you currently have will be sufficient enough for the State apostille and acceptance into the country of Mexico. Mexico typically does not place restrictions on when the birth certificate should be issued. We have apostilled birth certificates over 25 years old without any issues. You may want to double check with the requesting party if they have set any time restrictions for the birth certificate, diploma, and/or transcripts.

In order for the diploma and/or transcripts to receive an apostille, it must be notarized by the school registrar and a notary public. If the notary makes a mistake, your documents will be rejected costing you time and money. We also assess a fee if your documents are rejected for improper notarization.
