Apostille Frequently Asked QuestionsA common question we are asked is, “Do apostilles expire?”

The answer is no.  An apostille does not have an expiration date.  But, the country requesting your apostille may have a time limit on how old your apostille and document can be.

For example, an FBI background check apostille is typically accepted by most countries if it has been issued and apostilled within the past three months.  The reason for this is to prevent criminals from entering their country but also allow time for law abiding citizens enough time in order to complete their documents.

We have seen some countries request a background check issued within the past 30 days with an apostille.  It’s important to note every country has procedures to follow.  Some countries like Italy request a background check from the State of residence and also the FBI.  Be sure to check with the receiving country on what their requirements are in order to avoid any delays or additional costs in completing your documents.

Certificate of Origin and Commercial Invoice Attestation

Have you been asked to have a Certificate of Origin and a Commercial Invoice attested for use in another country?

If you are planning to export goods into another country, you will be required to provide the necessary paperwork (Certificate of Origin and Commercial Invoice).

The most common countries to request these type of documents are: Qatar, Kuwait, United Arab Emirates (UAE), Iraq, Jordan, Egypt, Saudi Arabia, Oman, Libya, Yemen, Lebanon, Vietnam, and Iran.

Note: If the country requesting your documents is a member of the Hague Apostille Convention, then all your documents require is the State apostille.  Hague Apostille Member Countries

The requirements for every country is unique.  Some countries will request your documents to be notarized by the local Chamber of Commerce while others only require a company representative to sign the documents in front of a notary public.  Some countries will request the documents to be authenticated by the National U.S. Arab Chamber of Commerce while another will ask for the documents to be authenticated through a designated law office in Washington, D.C.

Apostille Florida – Tallahassee

Apostille Diploma and Transcripts

If you are continuing your education in another country or if you have been offered a job, you will be required to provide an apostille on your diploma and transcripts.

We can apostille diplomas and transcripts issued from the following institutions:

A diploma notarized by the institutions Registrar must be apostilled from the Secretary of State’s office.  Please beware of apostille service companies who will re-notarize and apostille your diploma and transcripts from a State other than the institution is located in.  Example: A New York apostille on a University of California diploma.

For countries who are not members of the Hague Apostille Convention, your documents will require multiple steps to complete.  These steps are State certification, US Department of State certification, an Embassy or Consulate legalization. Note: Some countries may only require your diploma and transcripts to be processed through the State and Embassy or Consulate office.  Please, call us for instructions, cost, processing time, and order forms.

The very first step is to contact the institutions Registrar.  The Registrar will need to meet with a notary and have your documents notarized.  If the institution does not have a notary on staff, you can hire a traveling notary to meet with the Registrar.  From our experience, the registrar will do one of the following:

  1. Notarize the original diploma and transcripts. (Best choice and requirement for Qatar).
  2. Notarize a color copy of the original diploma and the original transcripts.
  3. Sign and notarize a letterhead and attach it to the original diploma or a color copy of the original diploma.

Every institution has policies regarding how diplomas and transcripts are notarized.  Some will ask for you to mail in your original documents while another will have to order a new diploma.

Apostille a Divorce Decree

In order to apostille your divorce decree, you will need to mail in a certified copy.  A certified copy will typically have an emobossed seal from the Court and a real signature of the Deputy Clerk (Court Official).  If you are unsure of if your document is a certified copy, we recommend that you mail in your document to our office for verification and processing.

How to Get Your Divorce Decree:

A final decree of divorce is archived in the vital records office of your courthouse, in the county in which you obtain your divorce. In most situations, the court clerk or your attorney will mail you a copy of your final decree.If this doesn’t happen or you need an extra copy you should write to or go to the court clerk’s office and request a copy.

If you had hired an attorney to help you with your divorce, your attorney should have supplied you with a Certified Copy of your Divorce Decree.  If not, your attorney can obtain one from the court and overnight it to your location or recommend a service company which can obtain a certified copy from the court directly.

The reason why another country who is a member of the Hague Apostille Convention would request your Divorce Decree to be apostilled is because they want to make sure you are unmarried.  You may be asked to provide additional document.  For example: Birth Certificate Apostille, Background Check Apostille from the FBI Apostille, etc…

If the country requesting your Divorce Decree is not a member of the Hague Apostille Convention, then your documents may require further authentication through the U.S. Department of State in Washington, D.C. and legalization through the Embassy or Consulate office. Our Staff in D.C. can handle your Department of State and Embassy legalization requests quickly.

Apostille Birth Certificate

If you’re planning to get married, obtain dual-citizenship, move, work, or conduct business in another country who is a member of the Hague Apostille Convention, you may be asked to obtain an apostille your birth certificate.  The Apostille helps authenticate your documents so the country requesting it will accept it.  There are currently over 110 countries who are members of the Hague Apostille Convention.

We can apostille birth certificates issued from all 50 US States including the District of Columbia (Washington D.C.).  If you were born in the USA, we can apostille your documents.  We are, however, unable to apostille birth certificates issued from another country (Example: Russia, Mexico, Germany, etc…).  Document issued from another country must be apostilled there.  Also, if you are an American citizen born in another country, you will need to contact the US Department of State in Washington, D.C. for assistance.
