Location: 250 E. Olive Ave., Suite 201, Burbank, CA 91502
Position: Junior Administrator / Administrative Assistant
Hours: 8am to 5pm Monday – Friday. You must also be able to work two Saturday’s a month in exchange of two Friday’s.
Pay: $21+ hourly/40 hours a week
Paid five day vacation every year

DUTIES AND RESPONSIBILITIES:

• Answer high volume of incoming calls, online chats, and emails.
• Contact State offices to verify the authenticity of documents.
• Generate UPS/FedEx/USPS air bills.
• Process documents through the California Secretary of State’s office.
• Effectively follow up with clients by phone / e-mail.
• Monitor office supplies.
• Collate and file pending and completed orders.
• Assist executive team members with a variety of projects/tasks.
• Typing, compiling and preparing reports, presentations and correspondence.
• Fulfill “front desk” duties as needed.

REQUIREMENTS:

• Must be HIGHLY detail oriented.
• Ability to consistently complete tasks with accuracy and timeliness.
• Ability to make decisions, problem solve, prioritize and meet deadlines.
• Excellent interpersonal communication and customer service skills.
• Ability to communicate clearly with clients and supervisors, both verbally and in writing.
• Intermediate computer experience, ideally with Gmail, Word and Excel/Excel online.
• Great organizational and planning skills.
• Self-motivation and ability to think independently.
• Ability to follow directions.
• Ability to work in a fast-paced environment.
• Working knowledge of basic reception duties and mail processes.
• Present one’s self professionally in appearance and manner.
• Clean driving record, vehicle, and insurance

EDUCATION/EXPERIENCE:

• Bachelor’s degree with two years of experience or Associates degree with five years of experience.
