County Authentication and State Apostille

In the United States, a handful of States still require a notarized document to also be authenticated by the County Clerk’s office before the State will attach the apostille.

These five States are:

  1. Hawaii
  2. Kentucky
  3. Maryland
  4. New York  (No additional cost if in NYC)
  5. Tennessee

If your documents has been notarized in any of the five States above, your documents will need to be authenticated by the County Clerk’s office before the State will attach the apostille.  Our office can authenticate your documents from the County Clerk’s office prior to obtaining the apostille form the Secretary of State’s office.  Or, if you are in the County your documents have been notarized in and you would like to save time and money, you can take the notarized document to the County Clerk’s office and authenticate the notary’s seal and signature.  Once authenticated, you can then mail in your documents to our office so we can obtain the State apostille

Q. Why does my document require County Clerk authentication?
A. Unfortunately, in a handful of States, the Secretary of State does not have the official signature of the notary on staff even though the notary is commission by the same office that provides the apostille.  The State will recognize the official signature of the County Clerk but not the notary.  Hopefully, in the near future, these States will eliminate this additional step.

Q. Can you handle the County and the State?
A. Yes, we can handle both steps.  Please note that we do charge a fee for County Clerk authentication in addition to our State apostille fee.  In the State of New York, if your document has been notarized in NYC, we do not charge an additional fee.
