Do you need an FBI Apostille for the Costa Rica?

If you have received your FBI background check in a digital format (PDF copy) from the FBI Channeler or FBI, go ahead and email it to us with the completed order form and payment (see below).  If you have received your FBI background by regular mail (Hard copy), go ahead and mail it to our Washington DC office with our order forms (see below).  We can process a digital PDF copy or a hard copy.  It’s your choice.

Do you need San Diego Apostille Services?

Documents originating from San Diego can be processed through our Los Angeles apostille office.  Common documents we can apostille are birth, marriage, divorce, power of attorney, notarized documents, diploma, transcripts, single status, background check, and more!

The first step is to contact our office so we can discuss your documents and the country requesting them.  For example, if you need to apostille your California birth certificate for Mexico, we will want to know when your birth certificate was issued and if it was obtained from the County Clerk’s office.  In certain situations, you may need to obtain a new certified copy of your documents from the County Clerk’s office or State Registrar to avoid delays.  Court documents (Example: Divorce Decree) from Los Angeles must be a certified copy signed and stamped by the Deputy Clerk of the Court.  Documents that require your signature (Example: Power of Attorney) must be signed and notarized.  Please call us before you mail in your documents for the most up-to-date processing time and availability.

The second step is to mail in your documents with our Los Angeles Apostille Order Forms for processing.  Documents from San Diego can only be apostilled in the state of California.  Our office in California is located in Los Angeles.  Beware of websites that ask you to upload your documents to a company located in New York or another state.  Only original documents originating from California can be apostilled through California Secretary of State’s office.

FDA Apostille

Do you need an FDA Apostille?

Firms exporting products from the United States are often asked by foreign customers or foreign governments to supply a certification relating to products regulated by the Federal Food, Drug, and Cosmetic Act (FD&C Act).

Common documents we can apostille from the FDA and the U.S. Department of Health and Human Services are:

A food may be exported if it meets the specification of section 801(e) of the FD&C Act [21 U.S.C. 381(e)].  In accordance with the provisions of this section, a food intended for export shall not be deemed to be adulterated or misbranded under the FD&C Act if it:
(a) accords to the specifications of the foreign purchaser
(b) is not in conflict with the laws of the country to which it is intended for export,
(c) is labeled on the outside of the shipping package that it is intended for export, and
(d) is not sold or offered for sale in domestic commerce.

Document issued by the Department of Health and Human Services FDA division can be apostilled through our Washington, D.C. apostille office.  Documents received at our offices are submitted directly to the U.S. Department of State – Office of Authentications the following business morning.  The current processing time is four business days.  We also provide FedEx/UPS overnight return shipping at no additional cost.

Does an Apostille Expire?

An apostille does not have an expiration date.

Countries who are members of the Hague Apostille Convention may request your documents (Example: Birth, Marriage, Divorce Decree, Death, etc..) to be recently issued with an apostille. For example, most countries request an FBI apostille be issued within the past 90 days. Some countries may have even more stringent requirements and may request a background check issued within the past 30 days with an apostille.

Please double check with the country requesting your documents in order to find out how old your documents can be before you mail them in for processing. For example, if you need a California apostille on a California birth certificate, we recommend that you ask how old the birth certificate can be and how recent the apostille should be issued. If the answer is 30 days for both, then the birth and the apostille must be issued within the past 30 days.

From our experience, background checks have the most restrictions.

Also, some States have restrictions on how old the document can be.  For example, documents issued from the States of Wisconsin and Virginia are 12 months. Texas and Illinois is five years. We recommend that you contact us so we can discuss your documents.

USA Passport Apostille

Do you need to apostille your USA Passport?

If you are currently located in the USA, you can either make a color copy of your passport and meet with a notary or you can mail in your original passport to our Washington DC office for processing.  If you are outside of the USA, you can meet with a local US Embassy or US Consulate and have a copy of your passport notarized.

Passports notarized within a U.S. State must also receive an apostille from the same-State.  For example, if you meet with a California notary and have a color copy of your passport notarized, you will need to mail in your notarized passport to our California apostille office in order to obtain a California apostille.  Be sure to work with a notary with years of experience and one who will follow the notarial laws of their state.  Documents improperly notarized will be rejected by the State office.

An original passport mailed in to our Washington DC office does not require notarization.   Our US Federal notary will copy certify your passport (page with your picture and description) and obtain the apostille from the Secretary of DC.  Sending in your original passport to our Washington DC office is the recommend choice.  Please, be sure to mail in your documents by UPS/FedEX/DHL.

Once we receive your documents, we will begin to process them as soon as the same-day.  The processing time for some States make take longer.  For example, a passport notarized in the State of New York will require County Clerk authentication and State apostille.

Diploma and FBI Background Check Authentication for China

Are you planning to teach or continue your education in China?

From our experience, the Chinese Government will request for you to certify and legalize your FBI background check and your University diploma (highest degree).  In order to certify and legalize these two documents, you must mail them to our offices for processing.  We will discuss each document below and provide you step by step instructions.

The first step in obtaining your FBI background check is to contact an approved FBI Channeler.  By working with an FBI Channeler, you can shorten the amount of time it takes in order to receive your background check.  Another benefit of working with a FBI Channeler is that you can obtain a digital copy in addition to a hard-copy that will be mailed to your location.  A digital copy can help speed up the process of certifying and legalizing your documents for China.  You can email us the digital FBI background check for processing through the US Department of State and the Chinese Embassy in Washington DC.

In order to process your diploma, it must be signed and notarized by the University’s Registrar.  Every University has procedures in place on how to notarize a diploma.  Some University’s will request for you to mail in the original while another will ask for you to order a new one.  In order to find our the procedures and step you must take, you will need to contact the University.  Once you receive your signed and notarized University Diploma, the next step is to mail it to our office for processing.

Depending on the US State your diploma originates from (Example: UCLA – California), we may be able to process these two documents together.  But, in certain situations, we may have to process them separately.  We recommend that you contact our office so we can email you the instructions and order forms.  Our toll free number is 1-888-810-4054 ext.1

IRS Apostille

Do you need an apostille on your IRS document?

Documents issued from the Internal Revenue Service (IRS) can be apostilled through our Washington DC office.  Our DC apostille office processes documents daily through the Secretary of DC and the US Department of State – Office of Authentications.

Apostille a Birth Certificate

Do you need to apostille a birth certificate?

A birth certificate issued from any of the 50 US States must be apostilled from the State that issued the certificate.  The certificate must either be issued from the Health Department, County Clerk, or the State Registrar.  The certificate must bear the official signature of the official who is authorized to sign it. In order to obtain the Hague Apostille for this certificate, it must be mailed in to our office for processing.

For example, if you were born in New York City, your New York birth certificate must be apostilled from the State of New York.  The same holds true for a California birth certificate.  A birth certificate issued from the State of California can only be apostilled from the California State office.

WARNING: If an apostille company offers to apostille a birth certificate in a state other than the one it was issued from, then the apostille is considered invalid (Basically fraud).  For example, if your California birth certificate was issued with a New York apostille, this apostille is invalid and fraudulent.  A notary cannot copy certify a vital record certificate (Birth, Death, Marriage) and process it through another State.  Example: The State of New York cannot apostille a signature of a California official who signed your California birth certificate.  We recommend that you work with a reputable apostille service company who will obtain the apostille from the State that the certificate was issued from.
