We can apostille a travel consent letter signed and notarized in all 50 U.S. states, District of Columbia, and the U.S. Federal Government (USA Embassy). For countries who are non-members of the Hague Apostille Convention, we can also process your travel consent letter through the U.S. Department of State and the Embassy or Consulate office.

The purpose of signing a travel consent letter is to allow your minor child to travel outside of the Country with another person (Example: Father, Mother, Grandparents, Aunt, Uncle, friend, etc…).  You can obtain a travel consent letter from the airline, travel agency, or you can find a sample online.

The letter should state that you are giving permission to one or more people to take your child outside of the country.  The letter should include travel dates, your name, the name of the child, the person the child will travel with, the country the child will travel too, passport numbers, and the return date.  You will want to put as much information as possible include airline information.

The travel consent letter will need to be signed and notarized by the person giving permission.  Once the document has been signed and notarized, it can then be mailed in to our office for processing.  You will need to download our apostille order forms and mail in your original notarized document to our office for processing.  We recommend that you find a notary who has at least five years of experience and one who will follow the notarial laws of their state.  Improperly notarized travel consent letters will be rejected by the State causing delays and additional costs.

Obtaining an apostille on a consent to travel can be complicated and time-consuming. Don’t leave this process to untrained employees or non-professionals who do not fully understand the Apostille process and the unique requirements of certain countries. Passport Apostille Near Me

Do you need to apostille a color copy of your Passport?

A common question we are asked is, “How do I apostille my passport?”

Passports from various countries, including the USA, India, UK, Russia, and China, can be apostilled when signed and notarized in any of the 50 US states, the District of Columbia, or by the US Federal Government, such as the US Embassy or Consulate. For countries that are not members of the Hague Apostille Convention, the passport can still be processed by the US Department of State and the Embassy or Consulate office.

Usually, only the page of the passport containing personal information and the photo needs to be apostilled, but some countries may require a color copy of the entire passport to be notarized and apostilled. It is essential to confirm the specific requirements of the requesting country to avoid any delays or extra costs.

To apostille a passport, the original notarized color copy must be sent to our office for processing. If the person is outside the USA, the original passport should not be sent. In such cases, it is advisable to contact the local US Embassy or US Consulate office to arrange for a meeting with a US Federal notary, who can sign and notarize the color copy. Once notarized, the copy can be mailed to our Washington DC office for processing.

For individuals in the United States, it is recommended to meet with a local notary public who has at least five years of experience and adheres to their State’s notarial laws. Some states may also require the notarized document to be authenticated by the County Clerk, such as Kentucky, Maryland, New York, and Tennessee.

Please note that we can only assist with documents originating from or notarized within the United States for use in another country. If the passport is notarized in a foreign country, the competent authority in that country must be contacted for assistance.

Obtaining an apostille on your passport can be complicated and time-consuming. Don’t leave this process to untrained employees or non-professionals who do not fully understand the Apostille process and the unique requirements of certain countries. Your paperwork could be rejected costing you time and money. Don’t let this happen to you!

China Apostille

Starting November 7, 2023, China will become a member of the Hague Apostille Convention. This means that documents intended for use in China will be granted an apostille from the issuing authority beginning on that date, rendering embassy or consulate legalization unnecessary.

The Apostille Convention, also known as the Convention of 5 October 1961 Abolishing the Requirement of Legalization for Foreign Public Documents, is an international treaty that streamlines the authentication process for public documents that are to be used in foreign countries.

Currently, if foreign documents are to be used for administrative purposes in China, such as visa applications or business establishment, they must undergo the legalization process through the State, US Department of State, and China Embassy. More information on the legalization process can be found by clicking the following link: China Embassy and Consulate Legalization.

Joining the Hague Apostille Convention is expected to benefit China by reducing the time and economic costs involved in cross-border circulation of documents and enhancing the business environment. This will make it easier and faster for both foreign and Chinese citizens to apply for various US documents, including criminal records, healthcare certificates, driver’s licenses, degree certificates, and birth certificates, that may be necessary for administrative tasks.

The change will be particularly advantageous for US companies engaged in cross-border dealings, including domestic companies that hire foreign employees, import-export businesses, and multinationals with cross-border operations.

From a broader perspective, China’s membership in the Apostille Convention is a component of China’s overarching efforts to enhance the ease of doing business and minimize bureaucratic procedures within the country.

Don’t leave this process to untrained employees or non-professionals who do not fully understand the Apostille process and the unique requirements of certain countries. Confirm Eligibility: Check if you are eligible to exchange your California driver’s license for a South Korean driver’s license. South Korea allows license exchanges with certain countries, including the United States, but the specific requirements may vary depending on the country of origin.

Take Required Tests: Depending on the requirements of the local jurisdiction, you may need to take a written test and/or a driving test in order to obtain a South Korean driver’s license. The tests will typically be conducted in Korean, so it is important to have a good command of the language.

Saudi Arabia Apostille Wedding Certificate

Do you need to apostille your wedding certificate for Saudi Arabia?  This document is also referred to a marriage certificate.

In Saudi Arabia, unmarried or unrelated couples are generally not allowed to live together or engage in romantic relationships in public. The country adheres to strict Islamic law, and its legal system prohibits sexual relationships outside of marriage. As a result, public displays of affection, such as hugging or kissing, can result in penalties, including fines, imprisonment, or deportation.

In some cases, non-Muslim couples may be allowed to live together if they can prove that they are married in their home country and have the proper documentation to support their relationship. However, this can be a difficult and time-consuming process that may involve significant bureaucracy and legal fees.  At USA Apostille, Inc., we can apostille your marriage certificate for Saudi Arabia.

It’s worth noting that in recent years, Saudi Arabia has implemented a series of social and economic reforms as part of its Vision 2030 plan, aimed at modernizing the country and promoting greater social and cultural openness. However, these changes have been gradual and have not yet extended to all aspects of Saudi society, including attitudes towards unmarried couples. Therefore, it’s important for anyone considering living in Saudi Arabia to research the local laws and cultural norms and be mindful of potential risks and challenges.

The purpose of the Apostille is to authenticate the origin of a public document and to enable it to be recognized in another country that is a member of the Hague Apostille Convention.

In many cases, when a person needs to use a public document in a foreign country, such as a birth certificate or a diploma, the document must be legalized or authenticated to be recognized as valid. The legalization process can be complicated and time-consuming, involving multiple steps and authorities.

The Apostille for Saudi Arabia simplifies this process by providing a standard certificate of authentication that is recognized by all apostille member countries. Once a document has been issued an Apostille, it can be used in any other member country without the need for additional legalization or authentication.

The Apostille is particularly useful for individuals and businesses engaged in international transactions, such as those involving property, education, employment, or legal matters. It helps to facilitate the exchange of information and documents between countries and promote greater international cooperation.

IRS Form 6166 for the Philippines

Do you need to apostille IRS Form 6166 for the Philippines?

The Philippines does have tax treaties with other countries, which provide relief from double taxation for taxpayers who are residents of one country but earn income in another country.

The tax treaty network of the Philippines includes agreements with countries such as the United States. These treaties typically provide for reduced tax rates on certain types of income, such as dividends, interest, and royalties, as well as provisions for resolving disputes related to the interpretation and application of the treaty.

Under these tax treaties, residents of one country can claim relief from double taxation by applying the provisions of the treaty to their tax situation. This can include claiming tax credits for taxes paid in the other country, or applying reduced tax rates on certain types of income.

It’s worth noting that the specific provisions of each tax treaty can vary, so it’s important to consult the relevant treaty and seek professional advice when dealing with cross-border tax issues.

IRS Form 6166 is a document issued by the Internal Revenue Service (IRS) of the United States that certifies an individual’s or entity’s status as a resident of the United States for tax purposes. This form is commonly used to claim tax treaty benefits in foreign countries.

Foreign tax authorities may require Form 6166 as proof of residency in order to claim a reduced rate of tax withholding on income that is sourced in the United States. This can include income from sources such as dividends, interest, and royalties.

To obtain Form 6166, an individual or entity must submit a completed Form 8802, Application for United States Residency Certification, to the IRS. The Form 8802 requests information about the applicant’s tax status and the specific tax treaty benefits that are being sought.

Once the Form 8802 is processed and approved by the IRS, the applicant will receive Form 6166, which certifies that they are a resident of the United States for tax purposes and are entitled to the specific tax treaty benefits requested. The form is valid for a period of three years from the date of issuance.

To apostille IRS Form 6166, you will need to follow these steps:

  1. Obtain the original IRS Form 6166 from the Internal Revenue Service (IRS). You can request this form by submitting a completed Form 8802 to the IRS.
  2. Mail in the original IRS Form 6166 with our Washington DC Apostille order forms to our Washington, D.C. office.  IRS 6166 is not notarized.

You will typically need to provide the following information and documents when requesting an apostille:

  • The original IRS Form 6166 that has been notarized.
  • A completed application for an apostille, which is typically available from the state authority’s website.
  • The required fee for the apostille.

Once you have obtained the apostille, the IRS Form 6166 will be recognized as a valid document in foreign countries that are party to the Hague Apostille Convention. The apostille verifies the authenticity of the document and allows it to be used for legal purposes in the foreign country.

Obtaining an apostille can be complicated and time-consuming. Don’t leave this process to untrained employees or non-professionals who do not fully understand the Apostille process and the unique requirements of certain countries. Why Should I Apostille a Birth Certificate

You may need to apostille your birth certificate if you plan to use it for official purposes in another country who is a member of the Hague Apostille Convention. An apostille is a form of authentication that certifies the document as a true and accurate copy, and confirms that it is acceptable for use in a foreign country.

For example, you may need an apostilled birth certificate if you are:

  • Applying for a visa or residency in another country
  • Enrolling in a foreign school or university
  • Getting married or seeking legal recognition of a relationship in another country
  • Participating in legal proceedings in another country
  • Proving your identity or age for various purposes, such as opening a bank account or applying for a driver’s license.

An apostille on your birth certificate helps to ensure that the document will be recognized and accepted by foreign authorities, and can save you time and hassle by avoiding potential delays or rejections due to lack of authentication.

How to apostille my birth certificate?

To obtain an apostille for your birth certificate, you need to follow these steps:

  1. Obtain a certified copy of your birth certificate from the issuing authority, such as the vital records office in the state or country where you were born.  In the United States, we recommend that you contact the County Clerk’s office or State Registrar.
  2. Check the requirements of the country where the birth certificate will be used to make sure it meets their criteria for an apostille.  For example, in the state of California, a birth certificate issued from the Health Department will require the County Clerk to authenticate the Doctor’s signature.
  3. Contact the appropriate authority to obtain the apostille. In the United States, this is typically the Secretary of State in the state where the birth certificate was issued.  For example, if the birth certificate originates from California, you will need a California apostille.
  4. Provide the certified copy of your birth certificate and any required fee or documentation to the appropriate authority.  Please contact our office so we can email you the instructions and order forms.
  5. Wait for the apostille to be processed, which can take several days or weeks depending on the authority.  The estimated processing time can be found here: Apostille Processing Time
  6. Once the apostille is processed, the state will attach it to your birth certificate, certifying that the document is authentic and can be recognized in the country where it will be used.

Obtaining an apostille can be complicated and time-consuming. Don’t leave this process to untrained employees or non-professionals who do not fully understand the Apostille process and the unique requirements of certain countries. Your paperwork could be rejected costing you time and money. Don’t let this happen to you!

Certificate of No Impediment for Marriage

Do you need to apostille a certificate to no impediment for marriage?

A Certificate of No Impediment for Marriage, also known as a “Certificate of Freedom to Marry,” is a document issued by a government official (County Clerk’s office) that states that there are no legal impediments to a person getting married. It is typically required by foreign governments as proof that a person is legally able to marry before allowing them to wed in their country. The requirements for obtaining a Certificate of No Impediment for Marriage vary depending on the country and jurisdiction. In general, it involves providing proof of identity, proof of marital status (e.g., a divorce certificate or death certificate if the person is widowed), and sometimes a FBI background check apostille.

We can apostille documents issued from all 50 U.S. states, District of Columbia, and the U.S. Federal Government (USA Embassy Single Status). For countries who are non-members of the Hague Apostille Convention, we can also process your documents through the U.S. Department of State and the Embassy or Consulate office (Legalization Process).

If you are planning to get married in another country who is a member of the Hague Apostille Convention, you will be asked to apostille a documents.

Note: This document may also be referred to as:

  • No Record of Marriage Apostille
  • Certificate of Freedom to Marry Apostille
  • Single Status
  • Certificate of No Record – Marriage
  • Affidavit of Single Status
  • Affidavit of Marriageability
  • Certificate of No Public Record
  • Eligibility to Marry
  • Affidavit of Civil Status

The first step is to contact the local County Clerk’s office to request a document that states you are currently not married   Most all County Clerk offices can provide you this document so please be sure to speak to a supervisor if you are told otherwise.  A document issued from the County Clerk’s office does NOT require notarization.

If the County Clerk is unable to assist you and you are in the United States, you can use the sample above to write your own single status affidavit.  Basically, you are writing a sworn statement stating that you are currently not married to another person in the United States.  Be sure to have this document signed and notarized before you mail it in to our office. You should also check with the people requesting your single status if they will accept a sworn affidavit directly from you.

If you are outside of the United States, the local US Embassy or US Consulate office should be able to assist you in completing a single status and also having it signed and notarized.  Because you will be visiting a U.S. Federal Government office and having your document signed and notarized by a US Federal notary public, this document can then only be apostilled through our Washington DC apostille office.

Obtaining an apostille can be complicated and time-consuming. Don’t leave this process to untrained employees or non-professionals who do not fully understand the Apostille process and the unique requirements of certain countries. Your paperwork could be rejected costing you time and money. Don’t let this happen to you!
