The purpose of signing a travel consent letter is to allow your minor child to travel outside of the Country with another person (Example: Father, Mother, Grandparents, Aunt, Uncle, friend, etc…).  You can obtain a travel consent letter from the airline, travel agency, or you can find a sample online.

The letter should state that you are giving permission to one or more people to take your child outside of the country.  The letter should include travel dates, your name, the name of the child, the person the child will travel with, the country the child will travel too, passport numbers, and the return date.  You will want to put as much information as possible include airline information.

The travel consent letter will need to be signed and notarized by the person giving permission.  Once the document has been signed and notarized, it can then be mailed in to our office for processing.  You will need to download our apostille order forms and mail in your original notarized document to our office for processing.  We recommend that you find a notary who has at least five years of experience and one who will follow the notarial laws of their state.  Improperly notarized travel consent letters will be rejected by the State causing delays and additional costs.

Do you need to apostille a color copy of your Passport?

A common question we are asked is, “How do I apostille my passport?”

Passports from various countries, including the USA, India, UK, Russia, and China, can be apostilled when signed and notarized in any of the 50 US states, the District of Columbia, or by the US Federal Government, such as the US Embassy or Consulate. For countries that are not members of the Hague Apostille Convention, the passport can still be processed by the US Department of State and the Embassy or Consulate office.

Usually, only the page of the passport containing personal information and the photo needs to be apostilled, but some countries may require a color copy of the entire passport to be notarized and apostilled. It is essential to confirm the specific requirements of the requesting country to avoid any delays or extra costs.

To apostille a passport, the original notarized color copy must be sent to our office for processing. If the person is outside the USA, the original passport should not be sent. In such cases, it is advisable to contact the local US Embassy or US Consulate office to arrange for a meeting with a US Federal notary, who can sign and notarize the color copy. Once notarized, the copy can be mailed to our Washington DC office for processing.

For individuals in the United States, it is recommended to meet with a local notary public who has at least five years of experience and adheres to their State’s notarial laws. Some states may also require the notarized document to be authenticated by the County Clerk, such as Kentucky, Maryland, New York, and Tennessee.

Please note that we can only assist with documents originating from or notarized within the United States for use in another country. If the passport is notarized in a foreign country, the competent authority in that country must be contacted for assistance.

FBI Apostille for Costa Rica

Do you need an FBI Apostille for the Costa Rica?

Documents originating from San Diego can be processed through our Los Angeles apostille office.  Common documents we can apostille are birth, marriage, divorce, power of attorney, notarized documents, diploma, transcripts, single status, background check, and more!

The first step is to contact our office so we can discuss your documents and the country requesting them.  For example, if you need to apostille your California birth certificate for Mexico, we will want to know when your birth certificate was issued and if it was obtained from the County Clerk’s office.  In certain situations, you may need to obtain a new certified copy of your documents from the County Clerk’s office or State Registrar to avoid delays.  Court documents (Example: Divorce Decree) from Los Angeles must be a certified copy signed and stamped by the Deputy Clerk of the Court.  Documents that require your signature (Example: Power of Attorney) must be signed and notarized.  Please call us before you mail in your documents for the most up-to-date processing time and availability.

The second step is to mail in your documents with our Los Angeles Apostille Order Forms for processing.  Documents from San Diego can only be apostilled in the state of California.  Our office in California is located in Los Angeles.  Beware of websites that ask you to upload your documents to a company located in New York or another state.  Only original documents originating from California can be apostilled through California Secretary of State’s office.

China Apostille

Starting November 7, 2023, China will become a member of the Hague Apostille Convention. This means that documents intended for use in China will be granted an apostille from the issuing authority beginning on that date, rendering embassy or consulate legalization unnecessary.

The Apostille Convention, also known as the Convention of 5 October 1961 Abolishing the Requirement of Legalization for Foreign Public Documents, is an international treaty that streamlines the authentication process for public documents that are to be used in foreign countries.

Currently, if foreign documents are to be used for administrative purposes in China, such as visa applications or business establishment, they must undergo the legalization process through the State, US Department of State, and China Embassy. Joining the Hague Apostille Convention is expected to benefit China by reducing the time and economic costs involved in cross-border circulation of documents and enhancing the business environment. This will make it easier and faster for both foreign and Chinese citizens to apply for various US documents, including criminal records, healthcare certificates, driver’s licenses, degree certificates, and birth certificates, that may be necessary for administrative tasks.

The change will be particularly advantageous for US companies engaged in cross-border dealings, including domestic companies that hire foreign employees, import-export businesses, and multinationals with cross-border operations.
